At Sound Care Agency, we are dedicated to helping you navigate the entire nanny/house manager hiring process while providing unparalleled customer service.  We understand that the prospect of hiring someone to care for your children and home can be stressful and daunting. We strive to make the experience as seamless and informative as possible for you and your family.

Whether you need in-home childcare for a few months or several years or you just need some consulting on a search that you are already working on, we are here to help.

Below you will find information about our placement process as well as an outline of our services and fees.

The Placement Process

Timeline

Keep in mind that a typical nanny recruitment takes between 2-8 weeks, and sometimes longer. Though we have refined the process of nanny recruiting, each family’s nanny search is unique and there is no way to accurately predict exactly when we will find the right match for you. You can rest assured knowing that we are dedicated to sending you qualified candidates in a timely and efficient manner while remaining vigilant in our candidate screening process and procedures.

In Home Meeting

The first step in working together is to schedule a time to meet you and your family in your home. During this time, we will learn about your specific needs, assess how best to help your family meet those needs, answer any and all question you have regarding our services, provide you with information regarding nanny payroll taxes and much more.

So much of what makes for a successful nanny/family relationship is based on compatibility.  By getting to know you, your philosophies and what’s important to your family, we are better able to know what we are looking for in your candidates.

There is no charge for this meeting. We want to give you every opportunity to make sure that we are the right agency for you before moving forward.

Job description

Once you have decided that we are the agency for you, the search for your nanny or house manager begins! We will immediately draft up a detailed job description and send you a copy so that you have the opportunity to make any edits you see fit.

Advertising

We not only have a wonderful pool of qualified and professional nanny candidates to draw from here at Sound Care Agency, we actively recruit for your position.  To attract the best possible candidates for you, we post job specific ads (using a shortened version of your job description) throughout the nanny community and send them out to our extensive nanny network.

Please know that while these ads are descriptive in detail, we will not post any of your family’s private information for public view.  All ads will point candidates directly to us via SCA’s email, phone numbers and website for screening.

Qualifying Candidates

On average, we expect to see between 25 and 100 responses to your job ads. We meticulously sort through each candidate’s information and reach out by phone to those individuals that look the most qualified.

If we like what we hear in the pre-screen interview, we will send them an information packet including a list of all the documentation we will need to collect from them as well as an application form for them to complete.

From there, we will schedule a time to meet with them in person, get to know them, go over their paperwork, ask relevant questions and get a feel for who they are as a nanny. After that meeting, if we feel like they could be a possible match for your family, we will begin checking their references and compiling their candidate profiles.

Your Nanny Candidates

Families can expect to interview between 1-3 candidates. We will only send you candidates that meet your criteria and whom we feel would be a good overall match with your family culture.

Once we have identified a match, we will send you (via email) a candidate profile that includes:

  • An Introduction email from Sound Care Agency with relevant information including number of years of related experience, an outline of their credentials and our thoughts/impressions during our interview process, etc.
  • The Nanny’s Application
  • The Nanny’s Resume (if provided)
  • A photo
  • Detailed transcripts of the Nanny’s references as conducted by Sound Care Agency
  • A Driving History Report
  • Copies of applicable certifications (CPR/First Aid, Educational degrees, etc.)
  • Letters of recommendation (if provided)

Interviewing

Before you meet with a candidate, you will receive their completed profile as well as a document full of tips on how to get the most out of your nanny interviewing experience. And we will be there to check in with you every step of the way.

Background Checks

One Criminal Background Check is included in the placement fee structure.  This service includes a criminal background check (misdemeanor, felony and sex offender registration) and is typically conducted at the time of the job offer.  Some clients request that we run background checks on every candidate that comes into their home and we are happy to extend this service for an additional fee.  The fees for additional background checks vary as it depends on the number of States/Counties/Countries the nanny has resided in,but will cost a minimum of $100 per completed report.

Hiring and Beyond

Once you have found the right nanny for your family, SCA will help you to close the deal. We will help you to draft an offer letter and work agreement outlining the specifics of your position (including the job expectations and terms, schedule, house rules, specifics of offered salary and benefits and much more).

Once the work agreement is written to your satisfaction, we will schedule a time to meet with you in your home with your new nanny to go over everything in person.

Why do we take this extra step? Because we know that starting off this new nanny/family relationship with clear expectations and open communication is the key to long-term success.  We will use this time to make sure that there are no questions left unanswered. And we’ve found that this is a service that both nannies and families love!

We will also provide you with other helpful documents including a medical release form, a daily activity log template and more!

Our Replacement Guarantee

Sound Care Agency offers one two-month replacement guarantee on our long term and Specialty Placements. If your nanny resigns or is terminated for just cause within the first two months of employment, Sound Care Agency agrees to locate and refer an acceptable Nanny replacement.

The Cost Breakdown

Long Term Placements – $3,500

This option is designed for families looking for a live-out nanny and/or household manager that will be with them for at least one year.

A $1000 non-refundable retainer fee is due prior to beginning the search and the remaining balance is due by or before the employee’s first day of employment.

Short Term Placements – $1,500

This option is for families needing short term/temporary care lasting between 1 and 6 months.

A $750 non-refundable retainer fee is due prior to beginning the search and the remaining balance is due by or before the employee’s first day of employment.

There is no replacement guarantee for this service.

Specialty Placements – $4,000

This option includes nanny/household manager recruitments outside of the greater Seattle area as well as placement of all other domestic staff including (but by no means limited to) live-in nannies/household managers, personal assistants, housekeepers and more.

** Please note that in addition to the flat fee listed for Specialty Placements, a family retaining SCA’s recruiting services for placement outside of the greater Seattle Area will also be responsible for any and all travel-related expenses incurred by our recruiting staff.

A $2000 non-refundable retainer fee is due prior to beginning the search and the remaining balance is due by or before the employee’s first day of employment.

There is a 2-month limited replacement guarantee for this service.
